Q: Can I tutor before the contract is signed and submitted to the Lighthouse Office?

A: No tutor can meet with a student unless a signed contract has been submitted and approved by the district. You will receive the clearance to begin from the Lighthouse Office as soon as it is approved.

Q: How do I complete the contract?

A: First, contact the parent and ask them to meet you so they can sign the form. Second, gather information on areas of concern for the students from their day time teacher. Use this information to write at least 3 goals that you will work on with the student on page five of the contract. Lastly, the school principal must review and sign the contract for it to be complete.

Q: What is the provider code?

A: 12

Q: How do I fill out the pink attendance form?

A: The form is used like a calendar, only bubble in the tutoring time the student attended. Total the hours and absences and mark on the back in the appropriate boxes.

Q: Can I use pen on the pink attendance form?

A: No! Pencil only, it is a scan form.

Q: When do I mark a child absent?

A: A child is considered “absent” from tutoring when they attend school during the day, but do not attend the scheduled tutoring session.

Q: What should I do when a child is absent often?

A: All tutors are responsible for getting in touch with parents regarding attendance and encouraging regular attendance to tutoring sessions.

Q: What do I do when a child moves or drops out?

A: Call the Lighthouse Office right away. If you know the child will be leaving the district, post-test that child before they leave.

Q: What do I do with the pre and post test scores?

A: All scores should be reported on the progress report as the summary of the student’s progress on the date the assessment was given. In addition, assessments should be scored and turned into the Lighthouse Office as soon as completed. Do not hold onto assessments.

Q: What if I cannot get parent signatures on the progress report and attendance forms?

A: First, ask the site- coordinator for any suggestions or assistance. Second, make a copy and send it home with the child, after you’ve made contact with the parent via phone or note. Lastly, keep in touch with the Lighthouse Office about any situations that arise where you are unable to get signatures.

Q: When is the monthly paperwork due?

A: Progress reports and attendance forms are due by the 10th of the next month. For example, January’s paperwork is due in the Lighthouse Office completed and signed by tutor, parent, and supervisor (site-coordinator or Principal) by February 10th.

Q: What materials can I use during tutoring?

A: All tutors are provided with curriculum that should be the main tool used to reach the set goals for the students. In addition, tutors may use the Dolch sight word list and CMT stem questions without approval from the Lighthouse Office. All other materials used, including computer programs, read aloud books, worksheets must be approved by the Lighthouse Office.
